Description: 

The Service Assistant is responsible for supporting the service department by answering customer phone calls, addressing customer inquiries, helping to schedule service appointments, and organizing/filing department paperwork. Primary goals are to maintain outstanding customer service in support of service department goals.. 

Essential Duties & Responsibilities:

  • Answer Subaru phone calls (schedule appointments, answer questions, communicate with service advisors)
  • Cashier Subaru paperwork
  • Call no-show appointments for Hyundai and Subaru
  • Keep up with daily filing/make new folders for Subaru
  • Check Subaru recalls for appointments the following day
  • Call customers without an email address for appointment reminders
  • Writing/mailing out recall postcards as needed
  • Making labels, assembling and sending out maintenance booklets every month for new cars
  • Various service department tasks as assigned (address changes/deletions, deleting outdated/incorrect customer emails, etc.)
  • Call customers when their parts are in/schedule appointments
  • Call customers to come in for second maintenance
  • Scanning daily completed repair orders
  • Check Group voicemail and call customers back as needed

Education & Experience:

  • Ability to read and comprehend instructions and information.
  • Strong customer service focus.
  • Proficient with gmail/google docs and able to operate computer based systems.
  • Valid driver's license and acceptable driving record.
  • Communication/Language Skills:
  • Must be able to effectively communicate both orally and in writing to a variety of customers, employees, and vendors as necessary.


Physical Demands:

  • Ability to lift and move objects weighing between 10-25 pounds
  • Ability to maneuver through the service facility; standing for long periods of time


Work Environment:
Individuals must be able to dress professionally for weather conditions, following the service department dress code policy. This position is located indoors in the Subaru service department. Although well heated, doors are open frequently so the area may cool down in the winter.

Work hours: 8:00 A.M.-5:00 P.M. Expected to arrive 10 minutes before shift starts.
